Whistleblower & Complaints Policy
1. Purpose
Our Ocean School Ltd is committed to maintaining transparency, accountability, and integrity in all operations. This policy provides a safe mechanism for anyone to raise concerns or complaints about suspected misconduct, fraud, safeguarding breaches, or other serious matters without fear of retaliation.
2. Scope
This policy applies to all directors, staff, volunteers, contractors, and partners in both Australia and Indonesia.
3. Policy Statement
- All individuals have the right to report concerns in good faith.
- Reports will be treated confidentially and investigated promptly.
- Retaliation against any person making a genuine report is strictly prohibited.
4. Reporting Process
- Reports may be made verbally or in writing to the Chairperson or Secretary of Our Ocean School Ltd.
- Concerns involving child safety must be reported immediately to the Safeguarding Officer.
- Where appropriate, complaints may also be submitted anonymously by email to [complaints@ouroceanschool.org].
- Each report will be documented, reviewed within 7 days, and investigated according to the nature and seriousness of the concern.
5. Responsibilities
- Chairperson: ensures all reports are handled appropriately.
- Secretary: maintains a confidential Complaints Register and documents resolutions.
- All staff and volunteers: must cooperate with investigations and maintain confidentiality.
6. Review
This policy is reviewed annually by the Board to ensure compliance with ACNC External Conduct Standard 3.
